1 Who We Are

Guardian Sarah LLC ("Guardian Sarah," "we," "us," or "our") is a Wisconsin limited liability company located in Dane County, Wisconsin. We provide a proactive AI voice companion service for aging adults and the families who care for them.

Our service consists of a warm AI voice named Sarah that speaks through a home speaker to check in on seniors multiple times per day. We also provide a family dashboard app, a Story Vault for capturing life stories, and care coordination tools for visiting aides and family members.

2 Information We Collect

We collect information in the following categories:

Information you provide directly:

• Name, email address, and phone number (family/caregiver account holders)
• Senior's first name, city, and state
• Personal context provided during onboarding: past career, faith preference, favorite foods, family members, and brief memory notes — used only to personalize Sarah's conversations
• Messages sent through the Custom Nudge feature
• Payment information (processed securely by Stripe — we never store card numbers)

Information generated by the service:

• Voice conversation transcripts from Sarah's daily check-ins
• Care notes summarizing meals, mood, hydration, and supply needs
• Story Vault entries — text and audio recordings of memories shared during conversations
• Aide clock-in/out records and shift notes

Information collected automatically:

• Website usage data via the Meta (Facebook) Pixel — pages visited, time on site
• Device type and browser type when visiting guardiansarah.com
• IP address (anonymized for analytics)
• Calendly booking data when you schedule a setup call

3 How We Use Your Information

We use the information we collect to:

• Personalize Sarah's conversations with your senior family member
• Generate care notes and weekly reports for family members and aides
• Store and display Story Vault memories in the family dashboard
• Send magic link login emails and service notifications
• Process payments and manage subscriptions through Stripe
• Schedule and confirm setup appointments via Calendly
• Provide customer support via email at support@guardiansarah.com
• Improve the Guardian Sarah service and Sarah's conversation quality
• Send occasional service updates (you can opt out at any time)
• Show relevant ads to people who may benefit from our service (via Facebook Pixel — see Section 4)

We do not use your information for automated clinical decision-making, credit scoring, or any purpose unrelated to delivering the Guardian Sarah service.

4 Facebook Pixel & Advertising

Our website uses the Meta Pixel (Facebook Pixel), a piece of code provided by Meta Platforms, Inc. The pixel collects information about your visit to guardiansarah.com and your actions on our website, including:

• Pages you viewed on guardiansarah.com
• Whether you clicked through from a Facebook or Instagram ad
• Whether you booked a setup call through Calendly

This data is used to:

• Measure the effectiveness of our Facebook and Instagram ads
• Show our ads to people who have visited our website (retargeting)
• Help Facebook find other people in Dane County, Wisconsin who may benefit from Guardian Sarah

Meta's privacy policy governs how Meta uses the data collected through the pixel. You can review Meta's data policy at facebook.com/privacy/policy.

We also use Calendly to manage booking appointments. Calendly has its own privacy policy available at calendly.com/privacy.

5 How We Share Information

We do not sell your personal information. Ever. We share information only in the following limited circumstances:

With service providers who help us operate:

• Vapi.ai — voice call infrastructure and transcription
• OpenAI — AI language model powering Sarah's conversations
• Airtable — database storing care notes and senior profiles
• Supabase — authentication and file storage (Story Vault audio)
• Stripe — payment processing
• Google Workspace — business email (support@guardiansarah.com)
• Calendly — appointment scheduling
• Meta Platforms — advertising measurement (via Facebook Pixel)
• Twin.so — workflow automation connecting our tools

All service providers are contractually required to use your data only to provide services to Guardian Sarah and not for their own marketing purposes.

With family members you authorize: Family Admin account holders control who has access to their senior's care dashboard, Story Vault, and care notes. You choose who sees what.

In emergency situations: If Sarah detects a potential emergency during a conversation, she will alert the designated Family Admin contact. We do not contact emergency services directly — we notify the family member you designated during onboarding.

As required by law: We may disclose information if required by a valid legal process, court order, or government authority.

6 Data Retention

• Active accounts: All data is retained while your subscription is active
• After cancellation: Account data is retained for 90 days, then permanently deleted unless you request earlier deletion
• Story Vault audio recordings: Retained for 90 days after cancellation, then deleted — unless you request an export before that date
• Story Vault text entries: We can export these as a PDF upon request at any time during or after your subscription
• Payment records: Retained as required by tax and accounting law (typically 7 years) — card numbers are never stored by us
• Re-subscription: If you re-subscribe within 90 days, all data is restored automatically

7 Your Rights

You have the following rights regarding your personal information:

• Access: Request a copy of the personal data we hold about you
• Correction: Request correction of inaccurate data
• Deletion: Request deletion of your data at any time
• Portability: Request an export of your data in a readable format
• Opt-out of marketing: Unsubscribe from any marketing emails at any time using the unsubscribe link or by emailing us
• Opt-out of ads: Opt out of Facebook pixel tracking using the links in Section 4

8 Wellness Disclaimer

Conversation transcripts and care notes generated by Guardian Sarah are wellness observations, not medical records, clinical notes, or diagnoses. They should not be used as a substitute for professional medical evaluation.

9 Children's Privacy

Guardian Sarah is designed for adults and senior family members. Our service is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected information from a child under 13, please contact us immediately at support@guardiansarah.com and we will delete it promptly.

10 Changes to This Policy

We may update this Privacy Policy from time to time as our service evolves. When we make material changes, we will:

• Update the "Last updated" date at the top of this page
• Send an email notification to all active account holders at least 14 days before changes take effect
• Post a notice on guardiansarah.com

Your continued use of Guardian Sarah after the effective date of any changes constitutes your acceptance of the updated Privacy Policy.
